The channel mix matters as much as the stages. The NMHC/Grace Hill 2024 Renter Preferences Survey — 172,703 renters across 4,220 communities — found renters prefer email for most interactions with operators, from setting up tours to non-emergency requests. So email carries the substance, and SMS carries the time-critical moments: tour reminders, 'we're holding the room until Friday', same-day follow-ups. Two channels, one map, no gaps.

Speed + warmth: automation that sounds human

The single highest-leverage fix in coliving lead handling is response time. The MIT-affiliated Lead Response Management study (Oldroyd, 2007) found the odds of qualifying a lead are 21x higher when you respond within 5 minutes versus 30 — and the odds of even making contact drop 100x over that same window. Meanwhile a Harvard Business Review audit (2011) found the average company takes 42 hours to respond to a web lead, and only 37% respond within an hour. Coliving prospects are usually enquiring with three or four operators at once; the first useful reply frames the whole comparison.

Deliverability & consent basics (UK GDPR / PECR aware, no legal advice)

The best sequence in the world is worthless in a spam folder. Before any campaign sends, we set the technical foundations: SPF, DKIM, and DMARC authentication on your sending domain; a warmed sending reputation; list hygiene that removes hard bounces immediately; and a sunset policy that stops mailing contacts who've ignored you for months — because continuing to email dead addresses is what actually damages deliverability for everyone else on the list.

Consent is the other half. For UK operators, that means UK GDPR and PECR shape how you collect and use contact data — SMS marketing in particular generally needs its own explicit consent, separate from email. We build flows accordingly: unbundled consent checkboxes, a clear record of what each contact agreed to and when, automatic suppression handling, and one-tap opt-outs on every SMS. We hold ourselves to current UK practice and we'll flag anything that needs a solicitor's eyes — what we won't do is pretend marketing setup is legal advice. Done properly, compliance isn't a constraint on the system; it's why the list stays healthy enough to keep converting.

Measuring: replies and leases, not opens

Open rate used to be the headline email metric. It shouldn't be anymore — inbox privacy features (most notably Apple's Mail Privacy Protection) pre-fetch messages and inflate opens, so a rising open rate can mean precisely nothing. We treat opens and clicks as directional at best and build reporting on the numbers that map to revenue: reply rate per sequence, tours booked from email and SMS, lease conversions attributed to specific flows, renewal rate on cohorts that received the renewal sequence versus those that didn't, and reactivated leads from the waitlist and win-back systems.

Every month you get one page: what each sequence produced, what we changed, and what we're changing next. Messages that generate replies and bookings get extended; messages that don't get rewritten or cut. This is also where the honest conversation lives — if a sequence isn't producing leases, we say so and fix it, rather than pointing at an open rate and calling it a win. The core enquiry-to-tour and post-tour sequences typically go live within the first 3–4 weeks, because that's where the fastest revenue impact sits. The full six-stage lifecycle — including renewal and alumni flows — usually lands within 8–10 weeks, depending on how much of your stack needs wiring.

Do we need to buy new software?+

Usually not. We build on whatever you already run — most mainstream email platforms and coliving PMS/CRM tools can support the full lifecycle. If you're genuinely starting from nothing, we can build on Growtify, our own platform, but we'll tell you honestly if your existing tools are enough.

Won't automated email feel robotic to prospects?+

Only if it's written robotically. Automation decides when a message sends; the copy decides how it feels. We write short, specific, first-person messages — the kind a good community manager would send if they had infinite time — and we route replies to a real human, fast. Prospects care about speed and relevance, not whether a human pressed send.
